You have gone to the trouble of holding the debriefing sessions and recorded valid points, suggestions and proposals. You have gone to all that trouble to avoid problems and improve delivery at your next event, so don’t waste the information.

You must take those points and suggestions, evaluate them and feed them into your event documentation. If there is a good proposal regarding the site plan, draw the proposed changes onto a proposed plan for the next event and describe the changes and the benefits, showing why they were proposed. If the proposals relate to sign posting, draft a sign posting schedule and sign design for next year and explain what changes have been proposed and the benefits they will bring.

All valid proposals should be written into a section of the final report (see Chapter 34, ‘Final report’) entitled ‘Proposals For Improvements Next Year’. The proposal should include a written description and, where beneficial, the proposal should include a drawing (for example where changes are proposed to the cones, and tapes are used to establish vehicle entry lanes). The descriptions should include a section describing how it differs to the arrangements used this year and what the expected benefits will be
