Cash office

This is the event ‘bank’ and must therefore be secure and protected. This is where float cash will be held and distributed and where incoming cash will be collected, bagged and dispatched for banking. Though any accommodation will do, bearing in mind the security consideration, I suggest that either a good sturdy Portakabin™ or an existing lockable building should be used.

To protect the cash from prying eyes, any windows on this office should be shuttered or otherwise screened. Electricity should be supplied for lighting and for heating or air conditioning, depending on season. Remember the doors and windows will be shut all day so the cash office will get very hot in summer – air conditioning is not a luxury.

The cash office will also need calculators, furniture, possibly a safe or lockable cabinet, cash bags, accounting forms, radio or other communications to the event manager’s office, secure and discreet parking for cash collection, a separate reception area or window hatch for visitors, water and refreshment facilities and sufficient toilets.

When locating the cash office you must remember that it should be convenient for cash to be brought there from the gate and car parks, without undue risk and without collection vehicles driving around the event site unnecessarily.

It must also be possible to despatch cash safely to the bank. Locating any police control office near the cash office gives it additional security and protection.
