Copies of the complete manual

You know your event and the people involved in making it a success. As a rule of thumb I tend to aim to produce three copies of the final event manager’s manual.

Copy 1

This copy is for the event manager and remains in their office for the duration. If event manager leaves the office and delegates responsibility to a deputy manager (for example at lunchtime) then the manual remains in the event manager’s office and is used by the nominated deputy. If the event manager steps out of the office – for example to go into the cashier’s office next door, or to present the ‘Best Steam Engine in Show’ award – they should take the manual with them. In simple terms the event manager’s copy stays in the event manager’s possession or in their deputy’s possession.

Copy 2

This is lodged in the cashier’s office. Should anything happen to the event manager’s office, the event manager can quickly obtain a copy of the manual from the cashier’s office. Should anything happen to the event manager and his office, the cashier takes responsibility and works from their copy of the manual, until relieved or replaced by the emergency services.

Copy 3

The third copy is lodged at the main gate. As above, if anything happens to the event manager’s office and the cashiers office, a copy of the manual is available at the main gate. Of course the main gate is staffed the whole time the event is running, so if anything happens to the event manager and the cashier and their offices, the nearest supervisor will be able to work from the manual at the main gate, until relieved by the emergency services.
