This is your opportunity to put a one- or two-page summary at the front of the final report. The lists of exhibitors and a summary of the financial status will be included elsewhere. As the event manager, write your version of how the show went and highlight areas for close consideration next time.
For example the event manager’s summary might be as follows:
Research indicated that the South Budley Steam Extravaganza would be well attended and would make a considerable profit. The event was held on 1st August 2006 and attendance exceeded estimates by 20%. All exhibitors have already booked places for next year and 37 additional steam exhibits have since written to enquire about next year (details included in this report).
The fun fair was well attended and the proprietor has committed to attending next year. The diversionary attractions that were introduced had mixed results. The radio-controlled model aircraft and cars were a hit and should be expanded in numbers and scope next year. The civil war re-enactment group took up a lot of time and space and were disruptive to the main show. Nobody was particularly interested in their exhibits or the ‘Battle of Budley Bridge1, and they should not be invited back.
Car parking worked very well under the Traffic Manager, Robert Anorak, and he is willing to take that role again next year. Sign posting was a problem. In the traffic congestion at the Four Corners Roundabout on the Al 11, motorists were confused as to the route to the event site. Next year we need to highlight that with the police and local authority; proposals for that have been included in this report.
There were no injuries or emergencies, though the radio hire company could not get their base station working until nearly 1 p.m. on the first day of the event, due to electricity supply problems.
I intend to organise the show again next year, but to double the size of the site and use five fields as car parks. I am already in negotiation for the use of the expanded site and car parks for next year.
