TIP

When you eventually begin to take bookings from attractions and exhibits, you must confirm their access and parking space requirements. They may bring a low loader containing a huge traction engine, which needs tarmac access and parking to prevent it bogging down or sustaining damage. They may bring a truck with a trailer, a supporting van and a caravan, all of which require off-site parking during the event. When you know what they intend to bring, you will have to calculate and reconfirm the space required for exhibitor parking and confirm your other plans and arrangements.

Checkpoint

When you have a finalised list of attractions and your enquiries tell you that the cost and availability is acceptable, hold a checkpoint presentation. Present the list of attractions and any explanations of why they were selected, then throw the meeting open for questions, answers and suggestion. After the meeting you may have to return to further refine the attractions list, in the light of suggestions made during the checkpoint meeting. The new revised attractions list must now feed into the next stage.

At this stage you should book any free attractions, that is anything that you do not have to pay for. For example the model car club may have agreed to come and demonstrate remote control cars, if you will attend their show and demonstrate radio-controlled helicopters.
